How to write an estimate that wins the job
Itemize everything
One line per service with its own price — never a single "cleaning $200". Clients who can see the parts rarely dispute the total, and itemized lines kill scope arguments before they start.
Show the all-in number
Add tax, deposit and any discounts on the estimate so the client decides on the real figure, not a surprise number on invoice day.
Put a clock on it
"Valid for 30 days" protects you when material prices move and creates a gentle reason to decide. Every preset here includes a validity date.
Get it signed
Print two copies on the spot — the client signs one, you keep one. A signed estimate is the cheapest agreement a small business can hold.
Frequently asked questions
Is this estimate generator really free? No signup?
Yes — add your business and client, edit the line items, and print or save as PDF. Nothing is uploaded and there is no account. Your draft is saved in your own browser so a refresh never loses it.
Where do the preset prices come from?
The 10 trade presets list typical 2026 US residential and small-business prices assembled from national pricing surveys and service guides. They are starting points, not quotes: every number is editable, and you should adjust for your city, your costs and the specific job.
How do I turn this into a PDF?
Click Print / Save PDF and choose "Save as PDF" as the printer destination. The page is formatted for US Letter — only the estimate itself prints, not the editor or website.
What is the difference between an estimate and an invoice?
An estimate is sent before the work to agree scope and price; an invoice requests payment afterward. Keep estimates itemized, add a validity period (30 days is standard), and turn it into an invoice once the job is approved — our invoice generator picks up from there.
Should I add tax to the estimate?
Rules vary by state and trade: some states tax residential services, others do not. Check your state once, then use the tax field so the client sees the all-in number. When unsure, note in the terms that tax will be added if applicable.
Is a sent estimate binding?
A client-signed estimate records the agreed scope and price and generally serves as evidence of the deal — it is not a full construction contract. For larger jobs, list exclusions in the notes and include both signature lines.
